Terms & Conditions of PetroExperts UK Ltd.

1. Introduction

These Terms & Conditions govern the provision of all training courses, consultancy services, and related offerings provided by PetroExperts UK Ltd. This includes courses leading to PetroExperts' internal certification and those leading to certification by third-party accreditation bodies (e.g., IWCF). By booking a course, attending a training session, or engaging our consultancy services, you ("Candidate" or "Client") agree to be bound by these Terms & Conditions.

2. Booking Procedures

2.1 Bookings may be submitted via our website enquiry form, email, or telephone.

2.2 All bookings are subject to verification of candidate eligibility, including meeting pre-requisites and provision of accurate personal information.

2.3 A booking is confirmed only when eligibility is verified and payment (if applicable) is received in full, or a valid, approved Purchase Order (PO) has been submitted.

3. Candidate Eligibility and Pre-Requisites

3.1 Candidates must provide the following information for verification purposes:

  • Full name (as it should appear on the certificate)
  • Date of birth
  • Job title and employer details
  • Candidate Registration Number (if applicable, especially for accredited courses)

3.2 Candidates from embargoed or sanctioned countries must inform PetroExperts in advance. Additional information may be required to comply with regulatory standards.

3.3 PetroExperts reserves the right to refuse a booking if candidate eligibility cannot be verified or if the candidate does not meet the specific pre-requisites required by the relevant certification body (e.g., IWCF).

4. Fees and Payment Terms

4.1 Course fees are as stated in our booking confirmation. Unless otherwise agreed, full payment is required in advance.

4.2 Payment methods include credit/debit card or bank transfer via PCI DSS-compliant providers.

4.3 Invoices issued under a contract or purchase order must be settled in accordance with the stated payment terms.

4.4 Failure to pay the course fee may result in cancellation of the booking.

5. Cancellation and Transfer Policy

5.1 All cancellation or transfer requests must be submitted in writing via email to contact@petroexperts.uk.

5.2 Cooling-off period (Consumer Law Compliant): For bookings made by individual consumers, a full refund is available within 14 days of the booking date. If the course is due to start within 2 weeks, this period is reduced to 24 hours.

5.3 Loss of Cancellation Right (Digital Content): By accessing any pre-course digital materials (e.g., online manuals or links) shared by PetroExperts, the Candidate acknowledges they may forfeit their right to a full refund and may be charged for the materials consumed up to the date of cancellation.

5.4 Transfers to another course date at the same location are permitted within 6 months of the original date, provided at least 7 working days' notice is given. Late transfer requests may incur additional charges.

5.5 Cancellations made with less than 5 working days' notice will result in forfeiture of the course fee.

5.6 Non-attendance without prior notice will result in the full course fee being payable.

5.7 Virtual Course Cancellation: PetroExperts is not liable for candidate non-attendance or forfeiture of fees due to personal technology failure, loss of internet connection, or failure to secure the required testing environment for virtual assessments.

6. Resits and Retraining

6.1 Fees for resits and retraining are not included in the standard course fee.

6.2 Resit or retraining schedules and associated fees will be agreed with the Course Booker on a case-by-case basis.

6.3 Retraining periods are defined by the relevant certification body or PetroExperts' internal quality standards.

7. Course Materials and Joining Instructions

7.1 Joining instructions, course schedules, and pre-course study materials will be sent to the Course Booker upon confirmation of booking.

7.2 It is the responsibility of the Course Booker to ensure the Candidate receives all relevant materials prior to the course start date.

7.3 PetroExperts shall not be liable for delays or issues arising from failure to forward joining instructions.

8. Training Delivery

8.1 PetroExperts offers the following training modalities:

  • Virtual Classroom Training: Live instructor-led sessions with interactive participation via secure online platforms.
  • In-House Training: Customized on-site training at client facilities.
  • Classroom Training: Instructor-led courses at our Aberdeen locations.

8.2 Candidates are expected to comply with all safety instructions, training guidelines, and instructor directives.

8.3 Virtual Requirements: Candidates attending virtual sessions must maintain a stable internet connection, use a functional webcam/microphone, and agree to keep their camera on for the duration of the course for identity verification and continuous presence compliance.

9. Examination and Certification

9.1 Candidates must present valid photographic identification on examination days. For virtual assessments, candidates must adhere to all remote invigilation requirements, including providing a clear 360-degree view of the testing environment when requested by the invigilator.

9.2 Mobile phones or electronic devices are prohibited during examinations unless explicitly authorized.

9.3 Certification:

  • PetroExperts Certificates: Will be issued following successful completion of the course and internal assessment.
  • Accreditation Body Certificates (e.g., IWCF): Exam results will be communicated by email. Final official certificates will be issued by the accreditation body. PetroExperts is not responsible for delays or failures caused by the third-party accreditation body's processing times.

9.4 Certification Deadline (IWCF): The Certificate of Attendance issued after virtual training is valid for 90 days. Candidates must complete and successfully pass the final written and practical assessments within this 90-day period.

10. Invitation Letters

10.1 PetroExperts may issue invitation letters for visa purposes provided full payment of the course fee has been received.

10.2 PetroExperts is not responsible for visa denials or any costs incurred in relation to visa applications.

11. Liability

11.1 PetroExperts makes reasonable efforts to ensure accuracy of course content, but does not accept liability for any direct, indirect, or consequential losses arising from use of our services.

11.2 Participation in training courses and consultancy services is at the Candidate's own risk.

11.3 PetroExperts shall not be liable for any loss or damage resulting from force majeure events beyond its reasonable control.

12. Health and Safety

12.1 Candidates must comply with all health, safety, and operational instructions provided by PetroExperts.

13. Data Protection

13.1 Personal data collected during bookings and training is processed in accordance with the PetroExperts Privacy Policy.

13.2 By booking, Candidates consent to the processing of their personal data as outlined in the Privacy Policy.

14. Governing Law and Jurisdiction

14.1 These Terms & Conditions are governed by the laws of Scotland, United Kingdom.

14.2 Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the Scottish courts.
